Virtual Bookkeeping (UK)
A qualified financial partner who keeps your accounts accurate, your deadlines met, your business compliant.
It starts as a weekend catch-up. Then it's the thing always at the back of your mind, unlogged receipts, unchased invoices, a VAT quarter coming faster than expected.
Underneath the admin stress: a quieter fear. That you're not compliant. That HMRC finds something. That year-end tells a story you weren't expecting.
A Zoom Office bookkeeper removes that anxiety. Accounts current, deadlines tracked, a clear picture of your business whenever you need it, not just at year-end when it's too late.
Zoom Office is known for virtual reception and business support services. So when we say we also provide qualified bookkeeping, it is reasonable to ask: why would I trust the same company with my finances?
The answer is that bookkeeping is not a different business for us — it is the same business applied to a different function. Every Zoom Office service is built on the same principle: give growing businesses access to qualified, professional support that removes a specific operational burden, at a cost that makes sense and without the overhead of hiring in-house.
Our bookkeeping team is separate from reception and PA. ACA/ACCA qualified, specific SME experience, not generalists asked to add bookkeeping to their workload. If a specialist standalone firm would serve you better, we’ll say so.
Questions worth asking before you hand over your books.
No. We work within Xero, QuickBooks, and Sage — whichever platform you are already using. You do not need to migrate, learn a new system, or change how you work. If you are not yet using any accounting software, we will recommend the right platform for your business at the consultation stage and manage the setup.
We access your accounting software through the platform’s own user permission settings — the same way you would give access to an in-house colleague. You control exactly what we can see and can review or revoke our access at any point. All file transfers are encrypted to bank-level standard. Your data is stored on UK-based secure servers, handled in full compliance with UK GDPR, and never shared outside the working relationship. Every bookkeeper signs a confidentiality agreement before accessing any client account.
We manage the year-end process for you — preparing your annual accounts, reconciling everything that needs reconciling, and filing with Companies House and/or HMRC before the deadline. We flag your year-end timeline well in advance so there are no last-minute surprises.
Yes. Many clients come to us with records that have not been kept up to date — sometimes for months, occasionally for longer. We carry out a catch-up exercise to bring your books current before moving to ongoing management. We will give you a clear scope and cost for any catch-up work before we start.
We track and manage all relevant HMRC deadlines for your account — Self Assessment (31 January), Corporation Tax (nine months and one day after your accounting period ends), VAT quarters, payroll RTI submissions, and Companies House filing deadlines. You will never be caught out by a deadline you did not know was coming.
We do not process financial documents via unencrypted email.
Individual services are available without a full bookkeeping package. If you only need your VAT return managed each quarter, or your payroll processed each month, we can provide that as a standalone service. Most clients who start with a single service add others once they experience the time it saves.
Plans start from £25 per month for sole traders and freelancers with straightforward requirements. Limited company bookkeeping pricing depends on your business structure, transaction volume, and the services you need. The clearest way to get an accurate figure is a free 30-minute consultation — no commitment required. Book one here or get a written quote within 2 hours.
